Every fall, general dental offices face the same challenge. Patients have recommended treatment waiting, and many of their dental benefits reset on December 31. The front desk knows those patients need a reminder, but between hygiene recalls and holiday hours, the outreach often slips.
This year, give your referring offices a simple Benefits Kit that makes the outreach easy. Plan to deliver it in early November, so offices have time to reach patients before the holiday calendar fills up.
What goes in the kit:
A ready-to-send patient text message
A short patient email template
A small counter sign for the front desk
Patient text:
Hi [Name], this is [Practice Name]. Many dental benefits reset on December 31. If you have recommended treatment, now is a great time to schedule. Call us at [phone] and we’ll find a time that works for you.
Patient email:
Subject: A friendly reminder about your dental benefits
Hi [Name],
As the year winds down, we want to help you get the most from your dental benefits. Many plans reset on December 31, and remaining coverage may not carry over into the new year.
If you have treatment that’s been recommended, our team is happy to help you schedule and answer any questions about your coverage. Give us a call at [phone] or simply reply to this email.
We look forward to seeing you soon!
[Practice Name]
Counter sign:
Make the most of your 2026 dental benefits! Many plans reset December 31. Ask us about scheduling today.
For your A referrers, have your marketing coordinator deliver the kit in person with the counter sign in a small acrylic frame. For B and C referrers, email the templates to the office manager along with a printable sign. Either way, add a short handwritten note: “Here to help your patients finish the year strong. Thank you for your referrals!”
If you have December openings, mention them. When an office knows you can see their patients quickly, year-end endodontic referrals become an easy decision.
The best part? You’re not asking for anything. You’re helping the referring office fill its own schedule, and that kind of goodwill lasts long after the holidays.
